Reporting to the Operations Manager (UK) and US President (US), you will support the efficient delivery of agency and client projects along with the smooth running of your designated office. This job is full of variety, and you will need to promptly respond to requests from both colleagues and clients. This is a hybrid position with 50% of time in the office for collaboration in addition to remote work.
As an Operations and Project Coordinator at Publitek, you will:
Help with the planning and delivery of project deliverables/assets for internal (agency) and client accounts/campaigns/activities
Ensure all parts of an assigned project are organized and progressing according to determined timelines and deliverable dates
Confirm and refresh supplier lists, and work with suppliers to obtain necessary paperwork for billing/invoicing, including creation of purchase orders that ensure vendors are paid on time and on budget
Support Project Manager in managing scope and timelines in the Asana project management tool to achieve maximum productivity
Make sure the team understands requirements for project milestones and client expectations
Document and share action items from project meetings and report accurate project metrics to team members
Support financial management of the US operation by managing shared Excel spreadsheets used for financial planning
Support with organization of in-office meeting schedules across geos (i.e. large client meetings and international visits)
Partner with HR to communicate office policies, coordinate employee activities including onboarding new joiners, and escalating any needs or concerns
Coordinate with IT for any office network and partner with the property manager to ensure facility is clean, comfortable and safe
Organize Publitek US social events, including holiday parties, networking events, among others.
Fundamental office tasks including keeping the kitchen stocked, managing office supplies and other physical office needs
Fluent in Google Workspace and Microsoft 365, including Excel - comfortable creating and maintaining complex spreadsheets to support our needs
Great communication skills across different teams in the business
A true all-rounder with a detail-orientated approach and a passion for organization
Keen to work collaboratively to ensure everything runs smoothly
An understanding of the value of relevant data to power decision-making and ability to conduct general research
